These Terms and Conditions ("Terms") govern your use of the Reports to Parents service ("Service") provided by ICT & Data Services Group Limited ("we", "us", "our"), a company registered in England and Wales (Company Number: 07557591).
By creating an account or using the Service, you agree to be bound by these Terms. If you do not agree to these Terms, you may not use the Service.
Reports to Parents is an AI-powered tool that assists teachers in generating written reports for pupils. The Service:
Important: AI-generated reports are drafts that require your professional review and editing. You are responsible for checking all content before sharing with parents or including in official school records.
School accounts are designed for whole-school use with multiple teachers. Pricing is based on the number of pupils on roll:
School accounts include a free trial of 2 reports before payment is required. Payment is by invoice.
Individual teacher accounts are for personal use by a single teacher. Pricing is per report credit:
Individual accounts include a free trial of 2 reports. Additional credits are purchased via card payment.
Each "finalised" report consumes one credit. Draft reports do not consume credits. You may generate unlimited drafts and only finalise when satisfied with the content.

We take data protection seriously. Please read this section carefully.
Pupil names are never sent to the AI service. We use placeholder replacement – the AI receives "[PUPIL_NAME]" and names are inserted client-side after the report is generated.
For school accounts, we act as a Data Processor on behalf of your school (the Data Controller). Our full Privacy Policy is available at privacy.html.
Our AI produces high-quality report drafts based on the information you provide. As with any tool that assists professional writing, the output should be reviewed before use. You know your pupils best, and your professional judgment ensures each report accurately reflects the individual child.
You have full control to edit, adjust, and personalise every report before finalising. This is your report - the AI is here to save you time, not replace your professional voice.
Best practice: Review each report and make any adjustments needed to reflect your knowledge of the pupil. Once finalised, the report is ready to share with parents.
Our translation feature helps you communicate with families in their home language. For important or sensitive communications, we recommend having translations reviewed by a native speaker where possible.
You retain ownership of the information you input (teacher notes, observations, etc.) and the final edited reports you produce.
The Service, including its design, features, and underlying technology, remains our intellectual property. You may not copy, modify, or reverse-engineer any part of the Service.
You may use AI-generated report text for your intended purpose (school reports). You may not resell or redistribute the AI-generated content as a standalone product.
School accounts are invoiced based on the number of pupils declared at signup. Payment terms are 30 days from invoice date. We reserve the right to suspend accounts with overdue invoices.
Individual credit purchases are processed via SumUp and are non-refundable once credits have been added to your account.
The free trial (2 reports) requires no payment. No credit card is required to start a trial.
We may change pricing with 30 days' notice. Existing purchased credits will be honoured at the rate at which they were purchased.
We aim to provide reliable service but do not guarantee uninterrupted availability. The Service may be temporarily unavailable due to:

To the maximum extent permitted by law:
You may close your account at any time by contacting us. Unused credits are non-refundable.
We may suspend or terminate accounts that:
Upon account closure, your data will be deleted within 30 days in accordance with our Privacy Policy.
We may update these Terms from time to time. Significant changes will be notified via email to the address on your account. Continued use of the Service after changes constitutes acceptance of the updated Terms.
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
